Regional Support Officer, Thornhill - The Halo Trust

Regional Support Officer, Thornhill - The Halo Trust

Location: One of these new positions will be based at our Scotland headquarters in Thornhill, Dumfriesshire and one in our offices north of Salisbury, England.

About the Organisation

The HALO Trust was established in Afghanistan in 1988 is now the world’s largest humanitarian Mine Action organisation. We save lives and restore communities threatened by landmines and other Explosive Remnants of War (ERW), including as cluster bombs, projectiles, rockets and improvised explosive devices (IEDs).

HALO employs over 8,600 staff on 23 country programmes which are organised into five regions across the globe and managed from our UK headquarters under the Programmes Group. Each HALO region is led by a Head of Region and supported by a Deputy Head, both of whom have formal responsibilities for a number of country programmes.

About the Role

HALO is now seeking to appoint two new UK based positions – Regional Support Officer (RSO) – to underpin the work of the Heads and Deputy Heads. One of these new positions will be based at our Scotland headquarters in Thornhill, Dumfriesshire and one in our offices north of Salisbury, England.

The two RSOs will report to the Heads of Region to whom they are allocated. The Scotland based Regional Support Officer will be allocated to the regions: AfricaMiddle East and AsiaLatin America; the Salisbury based RSO will support the Europe region.

HALO’s Heads of Regions and Deputy Heads are either based permanently abroad, or travel very frequently to programmes. The Regional Support Officers will therefore provide a wide range of assistance to anchor regional desks in the UK HQ, including active engagement with HALO’s other UK departments to minimise internal friction in a growing and dispersed organisation.

The role will require daily contact with the Heads and Deputy Heads of Regions, occasionally face to face and more regularly through phone, skype or email. Regional Support Officers will be involved in all aspects of regional business to communicate intent and ensure efficient process. Duties will include but are not limited to:

  • donor proposal development and assistance with written submission
  • donor grant management including output and reporting compliance, editing of reports, financial and logistical coordination
  • supporting regional compliance with HALO policies and procedures
  • support to in-region programme communications, presentations and briefing documents
  • representing and note taking at certain HQ department meetings, monitoring emails and internal HALO communications, and writing clear, concise briefs to pass on key information
  • other administrative and secretarial duties to support movement of busy Heads and Deputies to and from programmes and external meetings.

The role will require an ability to take clear direction and prioritise work under pressure to meet competing deadlines. As UK anchor for a dispersed team, initiative, independence and adaptability will be needed, together with well-developed analytical and planning skills, and attention to detail. Communication through excellent written and spoken English, proficiency in Microsoft Word and Excel and proven administrative experience in a demanding office environment are essential. And given all the above, empathy, patience and a good sense of humour will also be important.
