The Executive Secretary is responsible for ensuring that Gaia Education’s strategy and activities support its long-term vision, mission and educational goals as stated in its Gaia Education Strategic Plan 2016-2018 by ensuring activities are consistent with milestones and outputs. The Executive Secretary supports Gaia Education to be adaptable, innovative, inspiring, and socially responsible, as well as operationally excellent. The Executive Secretary is responsible for overseeing internal and external operations, and certification.
Role and Responsibilities
a) Manage Integrated Processes & Guide Internal Communications
- Ensure all Gaia Education (GE) projects and programmes meet international standards of governance, monitoring, evaluation, accounting and auditing.
- Provide managerial support to Project Managers, staff and volunteers to ensure targets are being met.
- Establish effective reporting and communication systems for projects and programmes so that GE management, funding organisations and the media have rapid access to clear, concise information on GE activities.
- Manage, implement and supervise policies/regulations, which are mandatory for a Scottish Charity operating internationally.
- Put in place a system of internal team management that will ensure high performance standards and that communication is open, collaborative, focused, transparent, and aimed at achieving desired outcomes.
- Support H&R processes by maintaining a healthy, safe, and fun work environment to ensure a high level of engagement amongst the employees and contractors. Support quarterly Board meetings with documentation and follow-up.
b) Overview Certification Process and Quality Control
- Manage Gaia Education Certification processes.
- Supervise Certification Working Groups to ensure reviewers are engaged in upholding the highest standards.
- Manage relationships with host sites and in-country managers of Project-Based Learning Activities so as to encourage maximum performance and dedication.
- Analysing reports and case studies generated by host sites with a view to identifying best practices and success stories.
Person Specification
- Systems-based thinking, creative problem solving and values-driven action
- Demonstrable experience in Project and Programme Management
- 3 years experience at a senior level of management
- Strong management and inter-personal skills
- Excellent verbal and written English communication skills, including ability to effectively communicate with internal staff and external partners, funders, supporters, governments and agencies
- Additional language skills would be an advantage
- Experience working in diverse inter-cultural environment, and an ability to work independently
- Excellent computer & internet proficiency
- Ability to use online tools to manage projects and people at a distance
- Cloud documents storage, video conferencing, project management database skills
